Cancellation & Refund Policy

This policy explains how cancellations and refunds work for payments made to Leads On Loops, including payments made through Razorpay.

1. Monthly retainers (marketing, ads management, automation)

• Retainers are billed monthly in advance and can be cancelled with 15 days' written notice by email.
• Once work for a billing month has started, the fee for that month is non-refundable.
• If you cancel before any work for a paid month has started, you will receive a full refund for that month.

2. Website and one-time projects

• Advance payments secure your project slot and cover initial planning and design work.
• If you cancel before work begins, the advance is refunded in full.
• If you cancel after work begins, we refund the advance minus the value of work completed up to that point, as stated in the quote.
• Payments for completed and delivered milestones are non-refundable.

3. ClinicFlow subscription

• ClinicFlow includes a 5-day free trial. You are not charged if you cancel during the trial.
• After the trial, the subscription is billed monthly and can be cancelled at any time; it stays active until the end of the paid month.
• Partial months are not refunded.

4. Third-party costs

Advertising spend paid to platforms (such as Meta or Google), domain registrations, and third-party software or messaging charges are non-refundable once paid or used.

5. Duplicate or failed payments

If you were charged twice or charged for a failed transaction, contact us and we will refund the extra amount in full.

6. How refunds are processed

Approved refunds are processed within 5 to 7 working days to the original payment method. Depending on your bank, it may take a few more days to reflect in your account.
