This Privacy Policy explains how Leads On Loops ("we", "us", "our"), a proprietorship firm registered in India, collects, uses and protects personal information when you visit our website, contact us, use our services, or use products operated by us, including ClinicFlow.

1. Information we collect

• Information you give us: name, phone number, email address, business name and details you share through forms, email, phone, WhatsApp or meetings.
• Billing information: billing name, address and GST details where applicable. Card, UPI and bank details are processed by our payment partner (Razorpay) and are not stored by us.
• Usage data: device, browser, pages visited and similar technical information collected through cookies and analytics tools.
• Client data we process on your behalf: when we run campaigns, automations or ClinicFlow for a client, we may process that client's leads and customer contact details strictly on the client's instructions.

2. How we use information

• To respond to enquiries and provide quotes;
• To deliver, manage and support our services and products;
• To send service messages, invoices and payment receipts, including over WhatsApp and email;
• To improve our website and services;
• To meet legal, tax and accounting obligations.

We do not sell personal information.

3. WhatsApp and messaging

If you message us on WhatsApp or opt in to receive messages, we use your number to reply and send relevant updates. You can opt out at any time by replying "STOP" or contacting us.

4. Sharing

We share information only with service providers that help us operate (such as hosting, email, messaging, advertising and payment providers including Razorpay, Meta and Google), under appropriate confidentiality, or where required by law.

5. Data retention and security

We keep information only as long as needed for the purposes above or as required by law, and use reasonable technical and organisational measures to protect it. No method of transmission over the internet is completely secure.

6. Your rights

You may ask to access, correct or delete your personal information, or withdraw consent, by contacting us. We will respond in line with applicable Indian law, including the Digital Personal Data Protection Act, 2023.
